Menu Manager - Frequently Asked Questions
Suppliers

Those users who have the ‘MM Stock Admin’ User Group assigned to their user accounts.

Ensure that the ‘Supplier’ and the ‘Credit Request Email Address’ fields are completed and that the ‘Order Sending Type’ field is configured as ‘No Ordering’. If you do not have the supplier’s credit request email address yet, use an internal email address temporarily.

The names of the suppliers are unique, and you cannot have two suppliers with identical names configured on the system. Go on the Suppliers page, then flag the show inactive option at the top of the page to see the already configured inactive suppliers.
Stock Items

The stock categories can only be managed in Aztec. They correspond to the Subcategories in Aztec and they will be updated after each data export takes place from Menu Management to Aztec.

The yield must be configured in the Dispense Size Multiples section under the Size Multiples tab of the Stock Items.

Ensure that the ‘Can Order’ flags are flagged on the

supplier’s Details page
-
relevant Stock Item’s ‘Details’ tab
-
relevant Stock Item’s ‘Supplier Products’ tab
-
relevant Stock Item’s ‘Order and Stock List’ tab

The default supplier and its default product must be configured under the Supplier Products tab of the Stock Items by flagging a supplier product with the default flag and marking the same product with the star.

If a Stock Item was set up with an incorrect stock size, the Stock Item must be deactivated, and a new Stock Item will need to be created with the correct pack size. When deactivating the old Stock Item, please rename it (example by adding ‘OLD’ at the end of its name) before the deactivation because the system will not let a new Stock Item to be configured with an identical name.
Batch Items

Make sure that the Batch Item is published otherwise it won’t be sent to Aztec with the next data export.
Importer

Make sure that:
-
none of the columns have been altered in the template prior to the import
-
the existing data hasn’t been changed under the A, B, C, D …. I columns
-
the new prices have only been entered under the ‘NewPrice’ column (J) without the ‘£’ symbol
-
the template has been saved in a ‘.CSV (comma delimited)’ format

Make sure that:
-
none of the columns have been altered in the template prior to the import
-
the existing data hasn’t been changed under the A, B, C, D …. R columns
-
the data has only been amended under the S, T, U, V…. AK columns
-
the template has been saved in a ‘.CSV (comma delimited)’ format
Recipes

The Recipe categories can only be managed in Aztec. They correspond to the Subcategories in Aztec and they will be updated after each data export takes place from Menu Management to Aztec.

Search for the Recipe by ticking the ‘Show Inactive’ button. If you still cannot find it, search for the Recipe under the Development Recipes page as it might not be live yet.

Make sure that the relevant Stock Item has at least one supplier product flagged for ordering purposes. (All 4 ‘Can Order’ flags must be flagged).

Make sure that the Batch Item has been flagged for the Division you are working in.

Check whether the allergen of the used supplier product has been approved.

Make sure that
-
the Recipe Category where the Recipe belongs to is flagged under the ‘Recipe Book’ column on the Recipe Categories page
-
the Recipe is published

Ensure that the ingredient is flagged under the ‘RB’ column under the Recipe’s Ingredients tab.

Make sure that the Recipe is published otherwise it won’t be sent to Aztec with the next data export.

Once the Recipe is sent from Menu Management to Aztec, an entity code will be sent back to Menu Management and the relevant sale item will be automatically created for that Recipe.

A portion is configured in Menu Management as separate Recipe. See the steps below:

Create a new Recipe (or create a copy of the original Recipe)

Ensure that the ingredients of the new Recipe reflect the portion size (example half portion will need only half quantities of the ingredients)

Select the ‘Alternative’ portion field on the Recipe’s ‘EPOS’ tab, select the name of the relevant ‘Standard’ Recipe, then select the name of the Portion

The Print Streams and the Print Groups are managed in Aztec.

A Recipe can be linked to a Print Stream under the Recipe’s EPOS tab in Menu Management.

A Recipe can be linked to a Print Group (Course in Aztec) under the Recipe’s EPOS tab.

The Choices are managed in Menu Management under the Choices page.
Menus

Make sure that the menu has been shared by changing the visibility of it to ‘Shared’.

Make sure that you have expanded the Course by selecting the arrow pointing downwards on the right-hand side of the page.

The Recipe is either a new Recipe, or it hasn’t been sold during the selected date range.
Other

How do I send the data to Menu Management?
A data export from Menu Management to Aztec will be done daily and this process will trigger the data to be updated in Menu Management with the latest Subcategories, Portion Types, Print Streams and Print Groups.
Users

Those users who have the ‘MM User Management’ user group assigned to. They will be able to add new users as well as update the details and settings of the existing user accounts.

Check whether the user account has the relevant User Groups and User Access Groups assigned to.

The client will need to ensure that a static IP address is configured at that location where the user accounts will be locked to. Following this, the client will need to send the IP address to Menu Management Support Team requesting for this to be added to the site’s configuration. Once the IP address is configured, the client can start locking the users to that location.

You must remove the ‘Locked to IP Address’ flag for the user so that the user will be able to log in to Menu Management from any locations.

The user will need to contact the appointed person who is responsible for maintaining their Menu Management user accounts. Please note, the user activation emails can be re-issued at any time and they will be valid for 30 days.

Check the following:

Have you selected a correct date range for your message?

Has the message been published?
-
Are you part of the recipient group that this message was posted for?

Ensure that the message has been flagged as ‘Important’.
